Refunds, pauses, and work already begun

This page applies to the work we actually offer: sampling plans, module performance audits, follow-up reviews, and findings briefings. It does not discuss goods, postage, or subscriptions, because we do not sell them.

Before a scope is signed

A first letter costs nothing. If you withdraw before you confirm a scope in writing, there is nothing to refund.

After a scope is signed, before observation

If you cancel in writing before the first agreed observation day, we refund fees already paid for that job, minus any non-refundable travel we had already bought with your written go-ahead (for example a night in a town beyond Kutaisi). If no such travel exists, the refund is full.

A sampling plan that has not yet been delivered as a document is treated the same way.

After observation has begun

Once a sampling window is open, the days already walked cannot be unsold. We bill the portion of the quote that covers work done (travel used, days observed, charts already drawn) and refund the unused remainder. If the unused remainder is less than the cost of closing the log honestly, we say so before you confirm the stop.

Findings already drafted remain yours if the invoice for work done is paid. We will not pretend the window was complete.

Briefings

If you cancel a findings briefing more than three working days before the sitting, we refund the briefing fee. Inside three working days we keep half, unless we can fill the room with another sitting the same week, in which case we refund in full. If we cancel the sitting, we refund in full or offer another date; you choose.

A no-show, without a message by the sitting time, is treated as a cancellation inside three days.

Follow-up reviews

A follow-up that has not yet reopened a window follows the “before observation” rule. Once the second window is open, the “work already begun” rule applies.

Deposits

We do not take a holding deposit for a vague future month. The first payment is the one named in the scope letter, usually before the window opens. That payment is not a non-refundable retainer; it follows the rules above.

Materials

We do not buy plant parts for you. Copies of charts and letters are included in the fee. Extra paper copies after the briefing are charged at cost if you ask for a bundle later.

How a refund is paid

Write to info@module-layercore.digital with the job name and the reason. We answer within five working days. Approved refunds travel by the same method you used to pay, within fifteen working days of our written agreement. If that method is closed, we ask for another account in your name.

Exceptions that actually arise

If a plant refuses us entry after we have travelled, the travel and the wasted day are billed; the unused rest of the window is refunded. If we cannot staff a window we had confirmed, you may cancel without charge or wait for a new window. Death, serious illness, or a civil emergency that closes the plant is treated as a pause; we reschedule, and we do not keep a fee for days nobody could walk.
